Privacy Policy

Who this applies to

This policy applies when you use Milo, including signing in, chatting with the assistant, connecting Google or Microsoft accounts, storing tasks, receiving a Daily Brief, or enabling notifications.

Account and profile

You sign in with Google. Milo stores a profile that may include your account identifier, email address, display name, the first name you enter during onboarding, the time zone you choose during onboarding or in Settings, Daily Brief settings, and whether onboarding is complete.

Signing in with Google does not give Milo access to Gmail or Google Calendar. Those permissions are requested only if you later choose to connect Google as described below.

Profile information is stored on Milo’s servers. Your sign-in session may also be kept on your device so you stay signed in.

Connected Google and Microsoft accounts

You can connect one or more Google and Microsoft accounts so Milo can work with calendar and email. Connecting an account is optional and separate from signing in. Milo stores account identifiers (such as email and display name) and authorization credentials needed to access those accounts on your behalf.

For a connected Google account, Milo may request permission to read and write calendar events, read your calendar list, read Gmail, and create or send Gmail drafts. For a connected Microsoft account, Milo requests calendar and mail read access only. It does not write Outlook events or send Outlook mail.

Milo uses connected-account APIs when you ask it to look something up or take an action, and when generating a Daily Brief. Milo does not keep a full copy of your mailbox or calendar. Relevant snippets and results may be processed as described in “AI model processing” and, for Google, in “Google User Data.”

You can disconnect an account in Integrations. That removes Milo’s stored authorization credentials for that integration.

Google User Data

Milo accesses Google user data only after you explicitly authorize Google OAuth permissions. Signing in with Google is not the same as granting Gmail or Calendar access.

Depending on the permissions you grant, Milo may access Gmail and Google Calendar data. Milo uses that data only to provide user-facing Milo features, including:

• answering questions about your email and calendar
• finding availability
• creating or modifying calendar events
• creating email drafts
• sending email drafts after you approve them
• generating Daily Briefs

Milo does not sell Google user data. Milo does not use Google Workspace API data for advertising. Milo does not use Google Workspace API data to train or improve generalized AI or machine-learning models.

Google-derived information may be sent to service providers when needed to provide Milo, including an AI model provider for inference (for example, to answer a question about your mail or to generate a Daily Brief).

Milo’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Chat, memories, and on-device storage

Chat history and personal memories (such as preferences, facts, and people) are stored locally in your browser or device. They are not kept as a conversation archive on Milo’s servers.

When you send a message, the current chat and memories are sent to Milo so the assistant can respond, and they may be included in the request to an AI model provider.

Clearing Milo site or app data on that device removes locally stored chat and memories. It does not automatically delete server-side information such as your profile, tasks, connected accounts, Daily Briefs, or notification subscriptions. Chat and memories on one device are not automatically available on another.

Tasks

Tasks you create (including title, notes, status, and due date or time) are stored on Milo’s servers and tied to your account.

Daily Brief

If you enable the Daily Brief, Milo generates a summary at the local time you choose. Generation may read connected calendars, recent email, and tasks, then send that context to an AI model provider. The resulting brief is stored on Milo’s servers. When you next open chat, it can appear in your local conversation.

If you enable notifications, Daily Brief alerts use generic text (for example, that a brief is ready). They do not include the brief body or calendar, email, or task details.

AI model processing

Assistant replies and Daily Briefs are generated by a third-party AI model provider (currently OpenAI). Messages, memories, and relevant tool results may be sent to that provider to produce a response. That can include email, calendar, and task data when needed for the feature you requested.

The provider processes that content to generate output, subject to its own terms and privacy policy. Milo does not use Google Workspace API data to train generalized AI models.

Contact and feedback

If you submit a message from Contact us, Milo stores the message, the category you chose, and the email on your signed-in account so we can read it and follow up. There is no in-app inbox for these messages.

Push notifications

If you enable notifications, Milo stores a subscription for that browser or device so it can deliver alerts. Notification content is not stored with that subscription. Delivery uses the push service associated with your browser or device.

Actions the assistant can take

Creating, updating, or deleting a Google Calendar event, sending a Gmail draft, and deleting a task wait for you to confirm in Milo. Creating or updating tasks, creating email drafts, and saving or changing memories can happen in the same turn without that extra confirmation.

How we use this information

Milo uses this information to authenticate you, run the assistant, connect to accounts you authorize, store tasks and Daily Briefs, deliver optional notifications, receive contact or feedback you submit, and operate and protect the service. Milo does not sell your personal information and does not use a third-party advertising or analytics SDK.

Service providers

Milo uses third-party providers to operate the product. Depending on how you use Milo, that can include providers for:

• authentication
• cloud hosting and storage
• AI model inference (currently OpenAI)
• Google and Microsoft integrations
• browser or device push notification delivery

Those providers process data only as needed to provide their services to Milo, and they have their own terms and privacy policies.

Retention and deletion

You can delete your Milo account from Settings. That removes your profile, tasks, Daily Briefs, connected-account credentials, and notification subscriptions from Milo’s servers, deletes your sign-in account, and clears chat and memories stored on that device. Contact or feedback messages you submitted may be kept so we can follow up. You can also request deletion by contacting us at the address below.

Disconnecting a connected account removes Milo’s stored authorization credentials for that integration. Clearing Milo site or app data removes locally stored chat and memories on that device. You can also sign out and turn off the Daily Brief and notifications.

Some limited information may be retained when reasonably required for legal, security, fraud-prevention, or backup purposes.

Children

Milo is not directed at children under 13, and we do not knowingly collect information from them.

Changes

If how Milo handles data changes in a material way, we will update this page and the “Last updated” date.
